It explains how Hot Yoga Nation collects, uses and protects personal data belonging to members, instructors, staff and other individuals we work with.**Introduction**Hot Yoga Nation needs to gather and use certain information about individuals. This includes students and class members, prospective members, instructors and staff, job applicants, suppliers, and other people the studio has a relationship with or may need to contact.This policy describes how this personal data must be collected, handled and stored to meet Hot Yoga Nation's data protection standards — and to comply with the law.This policy exists so that Hot Yoga Nation: - Complies with data protection law and follows good practice. - Protects the rights of members, staff, instructors and partners. - Is open about how it stores and processes individuals' data. - Protects itself from the risks of a data breach.**Data protection law**The UK GDPR and the Data Protection Act 2018 (DPA 2018) describe how organisations — including Hot Yoga Nation — must collect, handle and store personal information. These rules apply regardless of whether data is stored electronically, on paper or on other materials.To comply with the law, personal information must be collected and used fairly, for specified purposes, stored safely, kept no longer than necessary, and not disclosed unlawfully. UK GDPR sets out seven key principles. Personal data must be: - Processed lawfully, fairly and in a transparent manner. - Collected for specified, explicit and legitimate purposes only. - Adequate, relevant and limited to what is necessary. - Accurate and, where necessary, kept up to date. - Kept in a form which permits identification for no longer than necessary. - Processed with appropriate security, protecting against unauthorised or unlawful processing, loss, destruction or damage. - Handled in line with an accountability principle — Hot Yoga Nation must be able to demonstrate its compliance.Hot Yoga Nation identifies a lawful basis for each way it uses personal data (for example: consent, contract, or legitimate interests) before that processing begins.Health information: as a yoga studio, we may collect health-related details from members — for example, injuries, medical conditions, or pregnancy, shared for class safety. This is "special category data" under UK GDPR and requires an extra layer of protection: it is collected only where necessary, access is restricted to instructors who need it, and it is explicit consent-based wherever possible.**Policy scope**This policy applies to Hot Yoga Nation's studio(s) and head office, all staff, instructors and volunteers, and all contractors, suppliers and other people working on our behalf.It covers all personal data we hold about identifiable individuals, including: - Names, postal and email addresses, telephone numbers. - Membership, booking and attendance records. - Payment and billing details. - Health and medical information disclosed for class safety. - ...plus any other information relating to individuals.**Data protection risks**This policy helps protect Hot Yoga Nation — and our members — from real data security risks, including: - Breaches of confidentiality — for instance, member health or contact information being given out inappropriately. - Failing to offer choice — individuals should be free to choose how we use data relating to them. - Reputational and financial damage — the studio could suffer, and may face regulatory fines, if sensitive data is compromised.**Responsibilities**Everyone who works for or with Hot Yoga Nation has some responsibility for ensuring data is collected, stored and handled appropriately. The following roles carry key areas of responsibility:Owners / Management Ultimately responsible for ensuring Hot Yoga Nation meets its legal obligations under UK GDPR and the DPA 2018.Data Protection Lead - Keeps management updated on data protection responsibilities, risks and issues. - Reviews data protection procedures on an agreed schedule. - Arranges training and advice for staff and instructors. - Handles data protection questions and individual rights requests. - Approves contracts with third parties handling our data (booking software, payment processors, email tools). - Acts as main contact with the Information Commissioner's Office (ICO), including reporting notifiable breaches within 72 hours.IT / Systems Lead - Ensures systems and equipment used for storing data meet acceptable security standards. - Performs regular security checks. - Evaluates third-party services such as booking platforms and cloud storage.Marketing Lead - Approves privacy statements attached to emails and newsletters. - Ensures marketing relies on a valid lawful basis and includes a clear opt-out. - Addresses data protection queries from journalists or media.**General staff guidelines**- Only staff who need data for their work may access it — for example, instructors accessing relevant health notes before a class. - Data is never shared informally. Access requests go through a line manager or the Data Protection Lead. - All staff and instructors receive training on their data protection responsibilities. - Strong, unique passwords are required for any system holding personal data, and are never shared. - Personal data is never disclosed to unauthorised people, inside or outside Hot Yoga Nation. - Data is reviewed regularly and updated or deleted when out of date or no longer required.**Data storage**Paper records: - Kept in a secure place where unauthorised people cannot see them. - Locked away when not in use — never left at reception or on a printer. - Shredded and disposed of securely when no longer required.Electronic records: - Protected by strong, unique, regularly changed passwords. - Stored only on designated, approved systems (e.g. our booking and membership platform). - Multi-factor authentication enabled where possible on systems holding member data. - Backed up regularly, with backups tested periodically. - Never saved directly to personal laptops, tablets or phones outside approved systems. - Protected by up-to-date security software and a firewall.**Data use**- Screens are locked when left unattended, including at studio reception. - Personal data, especially health information, is never sent by unencrypted email. - Data is encrypted or sent via an approved secure method before electronic transfer. - Data is only transferred outside the UK where an adequate safeguard is in place, approved by the Data Protection Lead. - Staff never save personal copies of member data to their own devices.**Data accuracy**We take reasonable steps to keep data accurate and up to date — particularly information relevant to safety, like emergency contacts or health declarations. - Data is held in as few places as necessary. - We take opportunities to confirm and update details, such as at membership renewal. - Members can easily update their information via their online booking account or by contacting the studio. - Inaccuracies are corrected as soon as they're discovered. - Marketing lists are checked against opt-outs at least every six months.**Your rights**Under UK GDPR, you have a number of rights over your personal data. Hot Yoga Nation respects and facilitates the right to: - Be informed about how your data is collected and used. - Access the personal data we hold about you. - Have inaccurate data corrected. - Have data deleted in certain circumstances ("right to be forgotten"). - Restrict how your data is processed in certain circumstances. - Receive your data in a portable format, or have it transferred elsewhere, where applicable. - Object to processing based on legitimate interests, or to direct marketing at any time. - Not be subject to solely automated decisions that significantly affect you, without safeguards.**Subject access requests**You're entitled to ask what information we hold about you and why, how to access it, how to keep it up to date, and how we're meeting our data protection obligations. This is called a subject access request. - Send requests by email to the Data Protection Lead — see contact details below. A standard request form is available but not required. - Requests are free of charge. We aim to respond within one calendar month of receiving your request and confirming your identity, extendable by up to two further months for complex requests (we'll tell you if this applies). - A reasonable fee may only be charged for manifestly unfounded or excessive requests, or extra copies of the same information. - We always verify identity before releasing any information.**Data breaches**We take reasonable steps to prevent data breaches. If one occurs: - Staff report it to the Data Protection Lead immediately. - Where a breach is likely to risk individuals' rights and freedoms, we report it to the ICO within 72 hours of becoming aware of it. - Where a breach is likely to cause high risk to individuals, we inform them directly without undue delay. - All breaches and our response are logged and reviewed to prevent recurrence.**Disclosing data for other reasons**In certain circumstances, UK GDPR and the DPA 2018 allow personal data to be disclosed to law enforcement or other bodies without your consent. When this happens, the Data Protection Lead verifies the request is legitimate, seeking legal advice where necessary, before any data is disclosed.**Providing information & contact**We want you to understand how your data is used and how to exercise your rights.   • "Love, love, love - and more love! My husband and I have been coming here for a wee while now. We started (I think) with the £30 for 30 days offer and moved on to the 6 month membership. We just keep renewing and have no plans to stop. I don't really know where to start... The staff are exceptional. Every single one, past and present have been lovely to us. We have always been welcomed and given excellent service - whether at the check in desk or on the mat. There are many classes to choose from and the times suit us well. I love the fact that each instructor is different and unique, providing a lovely variety - and always a wonderful class. They are professional, knowledgeable, skilled, supportive, caring and fun. It's a really lovely environment. I can honestly say, I haven't regretted going once (although I have regretted missing classes). I wish I had discovered this years ago. The atmosphere has always been positive. Everyone has their goal and are supportive in achieving it together. From a quiet, focussed Bikram to an energetic HIT Pilates with the tunes blasting, we have enjoyed it all. There is a real sense of community. It doesn't really matter how good (or not) you are, different modifications are provided and you can choose challenge level. Also, no judgement if you need a rest. I find it a really accepting place. It's full of people with all different backgrounds and experiences. All together, learning, getting to know each other and improving their practice. I would highly recommend Hot Yoga Glasgow.   • "Fantastic , welcoming and very calm studio. I’m semi retired and joined a couple of years ago on one of their promotional deals and now I’m hooked. I was a total beginner and found the teachers really welcoming and very knowledgeable. I stick to Bikram classes while I’m building my competence and with classes for this every morning and evening it’s easy to establish a routine that suits. There’s also a wide range of other classes on the schedule and I plan to try some of those in due course- especially now that I take a 6 monthly membership which makes this place great value for money."

  • "I received a hot yoga membership as a retirement gift and was initially apprehensive about trying it. However, my anxiety was unfounded and I attended five sessions within the first week.Regular practice of hot yoga has revealed several significant benefits. Research supports these findings; the warmer temperature facilitates muscle warming and increased blood flow which can enhance flexibility. Over time I have noticed improved physical performance. Additionally, research indicates that hot yoga can positively impact mental health. I have observed improvements in sleep quality and a sense of calm. Weight loss and enhanced cardiovascular fitness were also notable.The Battlefield studio is well-lit and modern, equipped with an advanced infrared heating system. The staff and class are welcoming and the instructors are highly skilled. It is beneficial to try various instructors and classes as they all contribute to personal performance and well-being. They are adept at gently adjusting posture. While the 90-minute Bikram class is intense, I find the 60-minute class more enjoyable. The 90-minute fusion yoga and deep release classes are exceptional. Ann’s deep release class is particularly popular due to the inclusion of a towel fan midway. Yin yoga with Toni: This class is truly relaxing. It’s held at a comfortable temperature, with soft yoga music playing in the background. The class involves gentle, passive poses with controlled breathing. Toni is excellent at subtly and gently adjusting your pose. The class definitely helps you feel calm and improves joint mobility.Sadly, his class is only available once a month."

  • "Love it. I went to try the inferno hot pilates class for the first. It was awesome. That atmosphere was incredible and everyone was so warm (no pun intended) and friendly. I had arrived early and had a chat with the manager and the instructor. They offered more information about the class and what it can do for me and gave me some tips on general wellbeing and nutrition."
